Payroll Coordinator

Reports to: CFO

FLSA:    Non- Exempt/Hourly

SALARY RANGE: $52k-$65k

Position Summary:

The Payroll Coordinator performs accounting and clerical tasks related to the accurate and efficient processing of payroll for exempt, non-exempt, and piece-rate employees.  Prepare employee wage statements and process bi-weekly payroll.  Maintain payroll files, prepares payroll related reports for all taxation entities while ensuring that all procedures are compliant with state and federal policies.

Duties and Responsibilities:

  • Maintain detailed and organized payroll records regarding employee salary and pay (tracking hourly rates, wages, compensation changes, employment changes, insurance coverage, incentive compensation structure, employee relocations, new hire information, etc.)
  • Prepare payroll payments.
  • Manage workflow to ensure all payroll transactions are processed accurately and timely
  • Review, verify, and reconcile payroll (including source docs.) prior to transmission and validate confirmed reports
  • Process correct garnishment calculations and compliance
  • Address payroll-related issues and questions from employees
  • Provide light benefits and HRIS support;
  • Ensure all benefits, tax withholdings, levies, and insurance premiums are properly deducted from paychecks
  • Work closely with Accounting and People Team to manage and audit bills for health insurance, other insurance, and 401k to ensure insurance premiums/deductions align with employee enrollment
  • Manage and track employee PTO balances
  • Experience with Journal Entries when needed preferred
  • Help w/ system onboarding of new employees and system termination of exiting employees
  • Calculate commissions.
  • Prepare reports for management, accounting/finance department, etc.
  • Completes day-to-day payroll operations
  • Analyze time reports and variances, identifies system inefficiencies, and implements system/process enhancements
  • Assist/process tax calculations and filing activities as per federal and state laws, and IRS regulations
  • Ensures internal tickets and external requests are resolved timely
  • Work closely with Accounting, Finance, People Team, and Operations as needed
  • Other duties as assigned



Knowledge, experience, skills and abilities required to successfully undertake this role:

  • High school diploma or equivalent required; Bachelor’s degree in business, accounting, or relevant field preferred
  • Minimum of three (3) years of multi-state payroll processing experience required
  • Ability to work with little supervision
  • Working knowledge of payroll best practices
  • Strong knowledge of federal and state regulations
  • Knowledge and understanding of company benefits’ such as 401(k), insurance, paid leave, and other voluntary deductions
  • Knowledge of certified payroll preferred
  • Strong analytical and critical thinking skills
  • Excellent customer service and communication skills, both verbal and in writing
  • Strong problem solving and time management and priority setting skills
  • Proven ability to build strong relationships and influence others while working in a cross functional environment
  • Detail orientation with ability to analyze, problem solve, organize and manage multiple priorities and excellent follow up skills in a fast-paced environment
  • Ability to break down complex concepts and clearly explain them to people at all levels
  • Professional, articulate and able to use good independent judgment and discretion
  • Technically proficient in MS Word, Excel, Access, Outlook and PowerPoint
  • Experience with payroll systems (Paycom highly preferred, but not required)
